Starting situation

Mid-sized estate agency with active listings on three portals plus its own website. Five agents, each managing their leads in their own email and phone.

The problem

Each portal notified a different inbox. The same prospect asking about two properties became two unconnected leads. Agents replied according to workload — sometimes in minutes, sometimes never — and no manager could see the full pipeline.
