How to optimise WhatsApp to close more deals (without turning it into spam)
WhatsApp is the channel with the best response rate — and the easiest to burn. How to structure it to close more sales while keeping trust intact.

First: business WhatsApp, not the sales rep's phone
While conversations live on personal phones, there's no shared history, no continuity when someone's on holiday, no data on anything. Moving to WhatsApp Business (or the API, depending on volume) isn't bureaucracy: it's the difference between a channel and a black hole.
The golden window: the first 5 minutes
The most profitable use of WhatsApp is the instant first reply to the lead that just arrived. Confirm, give the first useful piece of information and ask a single qualification question. The goal isn't to close in minute one — it's for the lead to know someone's on the other end before they ask your competitor.
Messages that respect the channel
WhatsApp is conversation, not a noticeboard. What works:
- One message, one idea, one question. Triple paragraphs get ignored.
- Context, always. «Hi Martha, about the installation quote we sent you on Tuesday…» — never a message that forces them to guess who you are.
- Usefulness before pressure. Resolving a typical doubt in the decision process opens more replies than «have you thought about it yet?».
Follow-up with a limit
Two useful follow-ups after a quote is diligence; five is harassment. Our guideline: day 3 and day 8, with different content each time, and an elegant close that leaves the door open. Whoever doesn't respond to that goes into the quarterly reactivation — not the weekly bombardment.
Measuring WhatsApp as a sales channel
If WhatsApp isn't connected to your CRM, it's an invisible channel: you don't know how many conversations it opens, how many reach a proposal or how many close. Integration turns the feeling («WhatsApp sells well») into a number («WhatsApp closes 34% of the conversations it starts»).
